Role Purpose

The Office Coordinator ensures the smooth and efficient running of office operations while providing administrative and HR support to enhance the employee experience. This role oversees daily office administration, logistics, and coordination, while assisting with HR tasks such as record-keeping, recruitment support, onboarding, and compliance reporting.

Responsibilities

1. Office Administration & Coordination

  • Serve as the first point of contact for visitors, clients, and staff — providing a professional and welcoming experience.
  • Manage front desk operations, including calls, mail, and courier services.
  • Maintain office supplies, records, and filing systems.
  • Coordinate travel, accommodation, and logistics for staff and visitors.
  • Organize internal meetings, company events, and team activities.
  • Assist with basic fleet management and vendor coordination.
  • Support day-to-day administrative and operational tasks for the country office.
    Maintain a clean, organized, and efficient work environment.

2. Human Resources

  • Manage and maintain accurate HR records and ensure data integrity across systems.
  • Coordinate the end-to-end recruitment process, including job postings, screening, interviewing, and selection.
  • Support onboarding and offboarding processes to ensure smooth transitions.
  • Prepare HR compliance reports and assist with reporting requirements.
  • Ensure payroll information is accurate and submitted on time.

Requirements

  • Bachelor’s degree in Business Administration or a related field.
  • Minimum of 3 years’ experience in Office Administration, with some exposure to Human Resources.
  • Proven ability to manage HR processes across the full employee lifecycle.
  • Highly organized, detail-orientated, and able to multitask effectively in a fast-paced environment.
  • Strong interpersonal, communication, and relationship-building skills.
  • Proactive problem-solver with the ability to work independently and take initiative.
  • Proficient in Google Workspace tools.
  • Sound knowledge of HR best practices and labour laws.
  • Demonstrated ability to handle confidential information with integrity and discretion.
  • Friendly, approachable, and professional with a passion for people and creating a positive employee experience.
  • Reliable, adaptable, and driven by a strong sense of ownership and accountability.
  • Experience in a customer service-orientated environment will be an added advantage.
